I am unable to Reconcile the Drug Register

Unable to Reconcile Drug Register: If you discover a discrepancy on the Drug Register or the Drug Register Balance does not match the number of tablets counted you will use the Adjustment button.

Unable to Reconcile

If you have completed Stocktake but are still unable to reconcile the number of drugs present to the Drug Register, you will need to make an adjustment to the Drug Register.

In this scenario you will use the Adjustment button. 

The Adjustment functionality should be reserved as a last resort. Your facility will have permissions set for senior staff members who are allowed to use the Adjustment function.

  1. Click on the Adjustment button
  2. To continue with the Adjustment process you will need to enter the Transaction ID number. To obtain the Transaction ID return to the Drug Register
  3. Locate the transaction that holds the discrepancy. If a Stocktake has been completed, the discrepancy will be highlighted in red and the Action will be marked as Balance Check
  4. Expand the transaction by clicking on the arrow
  5. Navigate to and press the Copy ID button
  6. Then click the Adjustment button
  7. Click into the Transaction ID field
  8. Right click, and select Paste (this will paste the Transaction ID into the field)
  9. Then select either Resident Medication or Imprest/Emergency Meds/Ward Stock
  10. Include inactive residents if required
  11. Enter the Resident’s name into the search field
  12. Then click the Search button
  13. Select the Resident
  14. Click on the dropdown arrow to display the medications allocated to the resident
  15. Select the medication that requires the adjustment
  16. Then click the Add button
  17. Enter the Actual Quantity of medication that was counted
  18. Then click the Submit button
  19. The Primary nurse and witness should enter their User Names, Passwords, then click Sign
  • You will be returned to the Drug Register. Note the Balance has been updated to the adjusted balance.

The Adjustment process can be applied for both Imprest or Ward medications.
