Stocktake

How do I conduct Stocktake?

  1. Begin by clicking on the Stock tab
  2. Then click on the tab below, Stocktake
  3. Review the columns within the Stocktake
    • The Medication column lists full details of the stock
    • The Resident’s name will display if the medication is not an Imprest or Ward stock
    • The Last Count column will display the date of the last Stocktake for this medication
    • The Expected column displays the number of medications that should be available
    • The Counted column allows you to enter the number of items counted
    • The Diff column will display a numerical difference in the Stock if there is a variation
    • The last column is the Status of the Stocktake, for example, items have Never been Counted or items are ready for Stocktake Now

4.      The Notes column should be updated at each Stocktake. Enter relevant notes into the Stocktake Notes field

5.      As one nurse counts the medication, the other nurse enters the Stock count into the Enter Count field

    • If a difference has been recorded, the medication is highlighted in red and the discrepancy will cause an Alert to be generated


6.      Continue to enter the Stocktake

7.      After you have completed the count, enter Check and Correct notes into this field. Only then will you be able to complete the Stock Take.

    • Both Primary and Secondary Signatures are required
    • When you are returned to the Stocktake page, the status of the medications has been updated to the status of Counted

When you return to the Drug Register view,  the Action status of the medications have been updated to Balance Check and any discrepancy is also highlighted in red. 

Remember if the discrepancy cannot be resolved, use the Adjustment button.
